Privacy Policy

This Privacy Policy explains how Topflight Insurance Solutions LLC (“Atomic Automations,” “we,” “us”) collects, uses and shares personal information when you visit atomicautomations.ai, sign up for our Services, or contact us. It does not cover the contacts and data our customers store in their own accounts, which is explained in Section 4.

1. Information we collect

Information you give us:

• Contact details, such as your name, email, phone number and business name
• Account details, such as your login, agency, and whether you are a Topflight agent
• Billing details, such as your billing address and plan. Card payments are processed by our payment processor. We do not store full card numbers.
• Messages you send us, such as support requests, form submissions and booking details

Information collected automatically:

• Device and usage data, such as IP address, browser type, pages visited and time on site
• Cookies and similar tools, used to keep you logged in, remember preferences and measure our marketing, including the Meta Pixel

2. How we use your information

• To create and manage your account and provide the Services
• To process payments, subscriptions and renewals, and send billing notices
• To provide support and deliver Pro Concierge services
• To send service updates and, with your consent where required, marketing messages
• To improve our website and Services and measure our advertising
• To protect our Services, prevent fraud and meet legal obligations

3. How we share your information

We do not sell your personal information. We share it only:

• With service providers who help us run the Services, such as our CRM platform provider, payment processor, email and SMS providers, and hosting providers. They may use it only to provide services to us.
• When required by law, or to protect our rights, users or the public
• As part of a merger, acquisition or sale of assets, under the same protections in this policy

4. Data you store in your account

As a customer, you may add contacts, leads and client information to your account. You control that data, and we process it on your behalf only to provide the Services. You are responsible for collecting it lawfully, getting any required consent, and responding to requests from your own contacts. Do not store information in the Services that you are not permitted to share with a service provider.

5. Text messaging (SMS)

If you opt in to receive text messages from Atomic Automations, we will send messages about your account, appointments, support and, if you agree, offers. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Information may be shared with subcontractors that support our messaging services, such as platform providers and phone companies.

6. Your choices

• Email: Use the unsubscribe link in any marketing email. We will still send account and billing emails.
• Text messages: Reply STOP to any message.
• Cookies: You can block or delete cookies in your browser settings. Some parts of the site may not work without them.
• Access and deletion: Email [email protected] to request a copy of your information, ask us to correct it, or ask us to delete it. We may keep some information when the law requires it.

7. Your state privacy rights

Depending on where you live, including California and other states with privacy laws, you may have the right to know what personal information we collect, request a copy, ask us to correct or delete it, and opt out of targeted advertising. 8. Data retention

We keep personal information while your account is active and as long as needed to provide the Services, meet legal and tax obligations, resolve disputes and enforce our agreements. After your account ends, we delete or anonymize it within 30 days unless we must keep it longer.

9. Security

We use reasonable administrative, technical and physical safeguards to protect personal information. No system is completely secure, so we cannot guarantee the security of your information.

10. Children

Our Services are for business use and are not directed to children under 18. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy. When we do, we will change the effective date above, and if the changes are material, we will notify you by email or in the Services.
